ISA Regions, Sections and affiliate groups are invited to host a workshop, business meeting or reception during the ISA 2013 Annual Convention. All non-panel events will be held at the Hilton San Francisco Union Square. Meeting space is assigned on a first-come, first-served basis. ISA controls all meeting space at both hotels. All events are coordinated through ISA'S Director of Conventions and Meetings. Please do not contact the hotel directly, you will be referred back to ISA. A preliminary list of the meetings and receptions held at the Annual Convention will be made available in September 2013.
Individuals wishing to secure a meeting room for a non-panel event should review the application instructions, complete the appropriate request form(s), and return them to ISA. On this page you will find information on:

Step 1: Schedule Meeting Space
Meeting room assignments are based on size needs, room capacity and space availability at the time request forms are received at ISA. See Meeting Rooms Availability & Rules of Use for details. The deadline to request meeting space in time to have your event listed in the printed and online convention program is December 3, 2012. After December 3, you may still request meeting space for your function, but it will not be listed in the printed program’s schedule of meetings and receptions. It will be listed on the program addendum and in the online program.
Step 2: Complete Events Request Forms
ISA Regions, Working Groups, Sections and Committees may reserve meeting rooms for business meetings or group-sponsored receptions at no charge.
ISA affiliates are charged a nominal meeting room rental fee.
Promotional event signage is available for a nominal fee. Please see the meeting request form for details and prices. Promotional signage can be ordered for all events except panels, business meetings, or board meetings.
Meeting request forms are no longer available, the application deadline has passed.
Step 3: Pay room rental fee (if applicable) to confirm reservation.
Upon receipt of your event request form, ISA will issue an invoice for the meeting room rental fee and event signage fee, if applicable. Meeting room reservations are not confirmed until payment of these fees is received at ISA Headquarters. Upon receipt of payment, ISA will send confirmations of the meeting room name to you via e-mail. You may then move on to Step 4, Catering.
Step 4: Catering - Order Food & Beverages
ISA has negotiated discounted catering prices for ISA groups and approved affiliates. All event orders must be submitted to ISA's Director of Conventions and Meetings via e-mail or over the telephone (see Contacts below). The deadline for submitting event orders is February 1, 2013. You may change quantities up to 10 days prior to the event date. ISA is happy to provide recommendations or suggestions based on your budget. The catering menu prices are shown with two price points: base pricing, which is the price you will see on the final banquet order, is the price per item before service charges and taxes. The inclusive price is provides to assist you with budgeting, and includes the total estimated price per item, including service charges and taxes. After determining your catering requirements, you may then move on to Step 5, Audio Visual and Internet information.

Step 5: Audio Visual and Internet Information
ISA does not provide audio visual equipment or internet for business meetings or receptions. In some cases, groups may use ISA's microphones in rooms equipped with them. For security reasons, ISA removes all audio visual equipment at the end of each day's panels. If you require audio visual equipment or internet for your meeting or reception, indicate this by checking the appropriate boxes on the event request form, and ISA will contact you to discuss options and prices.

Event Promotion
Listing Your Event in the Program
Your event can be listed in the printed Official Program and the online version of the preliminary program. The deadline for inclusion in the printed final program is MONDAY, DECEMBER 3, 2012.
Meeting or Reception requests received after December 3, 2012 will be listed in the online program and added to the printed program addendum.
Meeting room assignments are TENTATIVE and subject to change until the program becomes final on December 3, 2012.
Distribution of Promotional Flyers
ISA will designate display tables in areas near the Convention Registration counters for the purpose of advertising events or distributing pamphlets or announcements.
Materials posted in violation of this policy will be removed and discarded. ISA appreciates your understanding and adherence to this policy.
